Oral Presentation Guidelines

1. Oral Presentation Date and Time

Please refer to the Timetable available on the Indico page for details on your presenation.

1) Keynote Talks: 45 mins (40+5 mins Q&A)
2) Plenary Talks: 30 mins (25+5 mins Q&A)
3) Invited Talks: 25 mins (20+5 mins Q&A)
4) Contributed Oral Talks: 15 mins (10+5 mins Q&A)
  • The above allocated durations for each type of presentation includes time for Q&A.

2. Preparing Presentation Slides

  • Please prepare your presentation slides in PDF or PowerPoint format.
  • Please make sure the slides are in 16:9 ratio (1920 x 1080 px).
  • All presentations must be prepared in English.
  • Please make sure you set your presentation file name as Presentation_IDxxx_Last Name. The ID refers to your abstract ID.
  • Please check the resolution of any images or graphs in your presentation files in advance.
  • If you use fonts other than the standard fonts provided by MS Office, the layout may be altered.

3. Audiovisual(AV) Equipment

  • The following audiovisual equipment will be provided in each session room:
  • ✅ PC (laptop) with MS PowerPoint 2019, operating on Windows 10.
    ✅ Beam projector (RGB, HDMI Port) & projection screen
    ✅ Laser pointer & mouse
    ✅ Microphone

4. File Submission Process (Indico)

All presenters are required to submit their presentation slides via Indico system. Please make sure to follow the submission deadline of Friday, 23 May 2025. You may update your presentation slides until this deadline.
* Files are accepted in PDF or PPT format only.
Please upload your files by taking the following steps:
  1. Log-in to your Indico account.
  2. Click “My Contributions” on menu.

  4. Click on the title of your contribution.
  5. Click on the pencil icon.

* Please make sure you title your presentation slides Presentation_IDxxx_Last Name. The ID refers to your abstract ID.
  1. Click “Upload files”.
  2. Upload your presentation slides.
  3. Select the “Presentation Slides (PDF/PPT ONLY)” folder.
  4. Click “Upload”.

5. Presentation Instructions

  • Since a Preview Room will not be operated at INPC 2025, bringing your presentation material on a USB drive or a personal laptop on-site will not be allowed. Please make sure to submit your PowerPoint(PPT) file in advance via Indico system.
  • Please arrive at your session room at least 15 minutes before the session begins to check your presentation file with the designated staff.
  • If you need to use any additional AV equipment, please confirm availability with the secretariat in advance ([email protected]).
  • Please be considerate of other speakers and the audience by keeping your presentation time. To ensure smooth operations, session chairs may interrupt your presentation if necessary.
Poster Presentation Guidelines

1. Poster Presentation Date and Time

Posters will be displayed in the exhibition hall, during an official poster session scheduled for Tuesday evening from 18:30. All posters may remain on display throughout the conference until removal at 16:30 on Thursday, May 29, 2025.
  • Location: Exhibition Hall, DCC Exhibition Center 1
  • Date & Time: 18:30-20:00, Tuesday, 27 May 2025
  • Set-up: 14:00-18:00, Monday, 26 May 2025

2. Preparing Posters

  • Poster size: 0.9m (width) x 1.2m (height)
  • All posters must be prepared in English.
  • Each poster should include the title, authors, and affiliation information, fitting within the designated space.
  • Please ensure that the text and illustrations are bold and large enough to be readable from a distance of 3-4 feet (1 meter).

3. Poster Setup and Removal Instructions

  • Each presenter will be assigned a poster board.
  • Presenters should print, bring, and mount their posters on the assigned boards. 3M tape will be provided in the exhibition hall for use.
  • Posters should be set up on the correct poster board during the designated setup time.
  • The INPC 2025 secretariat is NOT responsible for any posters that may be lost, stolen, damaged, or left behind after the conference.
  • All posters must be removed by 16:30 on Thursday, May 29, 2025. Any posters left behind will be disposed.

All presentations are prohibited from being recorded, copied, or shared for legal reasons, including copyright and portrait rights. Please be advised that INPC 2025 may take legal actions if necessary.
Proceedings Submission (EPJ Web of Conferences)
The proceedings of INPC 2025 will be published in EPJ Web of Conferences, an open-access journal indexed in Web of Science. All presenting authors are encouraged to submit a manuscript based on their conference presentation.

1. Page Limits

Each presentation type has a maximum page limit as follows (tentative):
  • Keynote Talks: up to 20 pages
  • Plenary Talks: up to 12 pages
  • Invited Talks: up to 6 pages
  • Contributed Oral Presentations: up to 4 pages
  • Contributed Poster Presentations: up to 2 pages

2. Schedule (tentative)

  • Proceedings submission begins: September 1, 2025
  • Proceedings submission deadline: October 30, 2025

3. Manuscript Templates

Manuscripts must be prepared using the official EPJ Web of Conferences template.
